Our prestigious client in Saudi Arabia is seeking an Assistant Facilities Manager to support the efficient and effective operation of a corporate client site in Riyadh. The role involves managing soft services, coordinating vendors, supporting workplace operations, and ensuring a high standard of service delivery across the facility.
The successful candidate will work closely with the Facilities Manager and wider facilities team to maintain a safe, efficient, customer-focused, and well-organized workplace environment.
Role Responsibilities
Manage first-line soft services, including reception, mailroom operations, meetings and events, cleaning, waste management, vending, and food services.
Supervise and coordinate service teams and ensure high-quality service delivery.
Monitor office equipment, supplies, kitchen facilities, and workplace resources.
Maintain regular communication and meetings with vendors regarding service issues, recommendations, and cost estimates.
Conduct regular site inspections and cleaning quality reviews.
Manage helpdesk and trouble-ticket requests, ensuring issues are resolved promptly in line with service level agreements.
Support daily health and safety activities, including fire safety meetings, drills, equipment checks, training, and record maintenance.
Assist with travel and visitor arrangements, including coordination with approved hotels and communication of relevant information to employees.
Support the planning and organization of internal and external events.
Maintain high standards for conference and meeting facilities.
Provide guidance to housekeeping and other support teams.
Raise and manage purchase orders where required.
Maintain site communication channels, internal information pages, and relevant documentation.
Provide cover and support for the Facilities Manager or Building Operations Engineer when required.
Carry out any other duties and responsibilities assigned by management.
Requirements
Knowledge or experience in facilities management, office services, or workplace coordination.
Previous experience working in a high-profile corporate environment.
Experience in reception, hospitality, customer service, or a similar service-focused role.
Diploma or degree-level education.
Strong problem-solving and decision-making abilities.
Excellent written and verbal communication skills.
Proficiency in spreadsheets, word processing, and standard office software.
Strong customer-service orientation and interpersonal skills.
Ability to communicate confidently and assertively.
Excellent attention to detail.
Ability to manage multiple tasks and work effectively with internal teams, clients, and external vendors.
